We are excited to invite you to exhibit at the ASPO 2025 Meeting: Le Futur, May 1-3, 2025. The meeting will be held at the Hotel Bonaventure, in Montreal, Canada.

ASPO is the largest society for the specialty of pediatric otolaryngology.  This meeting will bring together ASPO members and non-members, residents, fellows, and advanced practice providers. Previous meetings held in conjunction with COSM have seen over 500 registrants for the ASPO meeting, and we project an increase in attendance at this year’s breakout meeting.

This meeting will provide an ideal venue to interact with attendees focused on fostering excellence in the care of children with otorhinolaryngologic disorders, and we hope you will take advantage of this opportunity to join us. There won’t be another opportunity to meet with this dedicated group of pediatric otolaryngologists for another four years, so sign up to exhibit today!

Throughout the entire event, we intend to create ample opportunity to interact with attendees, including pre-meeting symposia dedicated breakfasts, lunches and breaks spread throughout the conference; and during the Welcome Reception & Poster Session. This meeting will provide you with an excellent opportunity to engage directly with pediatric otolaryngology providers, and we encourage you to check back on the ASPO website, www.aspo.us, for additional information on the scientific program and dedicated topics as the meeting gets closer.

RULES & REGULATIONS
This application requires a 50% deposit of the total exhibit fees. THIS DEPOSIT WILL NOT BE REFUNDED. Full payment is due on March 28, 2025. There will be no refunds if an exhibitor cancels space on or after March 28, 2025. 

Exhibit applications must be submitted by March 28, 2025. Please submit all materials to Dana McClure, Exhibits Coordinator, at d[email protected].

ELIGIBILITY TO EXHIBIT
Companies that provide education, supplies, and services to the medical profession include pharmaceuticals, instrumentation, practice management, publications, computer software, etc.

All products must be directly related to the practice of surgery or medicine and approved by ASPO in its sole and absolute discretion. Exhibitors shall not exhibit products or services other than those described in the application and approved by ASPO.

An “investigational device or drug” product must be clearly marked as such.

Exhibitors must ensure that concerning all such devices or drugs, only permissible preapproved dissemination of scientific and educational information is provided at the exhibit and that appropriate disclosure and cautionary notices are included with the devices or drugs.

All products and services exhibited at ASPO shall comply with FDA rules and regulations.

An exhibitor shall not in any manner directly or indirectly imply that an ASPO endorsement or approval of the exhibitor’s product or service has been given merely because ASPO approved such product or service for display as an exhibit.

Use of the ASPO logo on signs or materials distributed is strictly prohibited without the written consent of ASPO.

Logos, seals of approval, trademarks, or other similar property rights that are in disuse may not be used in connection with any product, service, or advertising material displayed or disseminated at the exhibit.

Applications deemed ineligible by ASPO will be returned with full payment.

EXHIBITOR REPRESENTATIVES
Each exhibiting company is granted exhibitor badges as part of its booth space rental fee, provided the exhibitor representatives are registered in advance. Additional and replacement badges will be available at $500 each in advance and on-site. Only exhibitors with badges will be permitted to enter the exhibit area during installation and dismantling hours.

Cancellations: The American Society of Pediatric Otolaryngology must receive written notification of a space cancellation on or before March 28, 2025. A $1,000 service charge will be assessed for each canceled space. No refunds will be given after March 28, 2025.

Failure to Occupy Space—The exhibitor will forfeit any space not occupied by 6:00 p.m. on Thursday, May 1, 2025. The space may be reassigned or used by the ASPO association without refund unless arrangements for delayed occupancy have received prior ASPO association approval.

Force Majeure
The performance of this Agreement by either party is subject to acts of God, war, government regulation, disaster, fire, epidemic, threatened or imminent strikes, civil disorder, curtailment of transportation facilities, threats or terrorist attacks, or other similar occurrence beyond the control of the parties, making it illegal, impossible, or commercially impractical to carry on the Exhibits or fully perform the terms of this Agreement. This Agreement may be terminated, or performance may be excused without penalty for any of such reasons by written notice from one party to the other.

SPECIAL RESTRICTIONS 
  • Giveaways are permitted only if approved in writing by ASPO before the meeting.
  • Any activity in the exhibit aisles is strictly prohibited.
  • Fire hose cabinets and exits must always be accessible and in full view. Decorations and displays must either be made of non-flammable material or treated with an approved fire prevention method. All display material must be flame-proofed and subject to inspection by the Montreal Canada Fire Marshal. No flammable fluids or substances may be used or shown in booths.
  • Displays may not be dismantled, or any packing begins before published dates and times.
Catastrophe
In the event of fire, strikes, or another unavoidable occurrence rendering the exhibit space unfit for use, provisions will be made for the exhibit elsewhere or a proper financial adjustment will be made to the exhibitor.SECURITY
ASPO cannot guarantee or assume any liability against loss or damage of any kind but will endeavor to protect exhibitors by providing a security guard after meeting hours.SIGNS/ANNOUNCEMENTS
No signs, posters, or brochures will be allowed anywhere in the hotel except within each exhibitor’s booth. No signs or other articles are to be fastened to walls or electrical fixtures. The use of thumbtacks, tape nails, screws, bolts, or any tool or material that could mark the floor or walls is prohibited.EXHIBITOR EVENTS/FUNCTION SPACE
Exhibiting companies may not conduct meetings or events during the ASPO program without prior written approval, including all symposia, lectures, focus groups, sessions, and social events.
